Who is responsible
ROAR Compassion Ltd (company number 17263789), trading as The Stables Wellbeing, 1–2 North Street, Bromley, London, United Kingdom, BR1 1SD, is the controller for the practitioner accounts and Stables-run event bookings described here. Contact hello@thestableswellbeing.co.uk with privacy questions. Practitioners running their own events may be separate controllers for their attendee information and terms.
What we collect
For practitioners: name, email, login credentials or authentication identifiers, membership and billing details, booking times, private booking references, payment status and provider references, communication preferences, and any professional or event-terms documents you upload. For event customers: name, email, ticket quantity, event and payment status, discount-code use and any invitation information. Payment-card details are handled by Stripe rather than stored in our booking database.
Why and on what basis
We use these details to provide accounts, reservations, memberships, events, invoices and service messages (performance of a contract); keep accounting records and meet legal obligations (legal obligation); protect the service, handle support, prevent misuse and improve operations (legitimate interests). Optional marketing will require a separate appropriate choice; booking and payment notices are service messages.
Who receives data
Relevant Stables administrators can access information needed to operate the service. A practitioner hosting an event can access the attendee and order information needed to deliver it. We use Supabase for the database and authentication, Stripe for payments, Resend for email delivery, and our website hosting provider for the application. These providers process data under their own contractual terms. We do not publish private booking references or payment details in the public calendar.
Storage and international transfers
Our providers may process information outside the UK. Where this happens, we use the provider’s applicable transfer arrangements and contractual safeguards. Contact us for details of the arrangements relevant to your information. We restrict access to account and payment data and do not use private booking references as clinical records.
How long we keep it
We retain invoices and supporting payment records for at least six years from the end of the financial year they relate to, or longer if a tax enquiry or dispute requires it. We keep account, booking and event records while the account or booking is active and afterwards only for as long as needed for support, legal claims and those accounting obligations. We delete or anonymise records when those purposes no longer apply. Please avoid entering patient or clinical information in this room-booking service.
Your choices and rights
You can update account and communication settings in your account. Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your information, or object to processing based on legitimate interests. You can complain to the UK Information Commissioner’s Office if you are unhappy with our response. Contact us first at hello@thestableswellbeing.co.uk.
